Electronic Signatures
What types of electronic signatures does Videosign support?
Videosign supports all three levels of electronic signature: Simple Electronic Signatures (SES), Advanced Electronic Signatures (AES) and Qualified Electronic Signatures (QES).
This allows organisations to choose the appropriate level of assurance for each document, from everyday agreements through to high-value or highly regulated transactions.

What's the difference between SES, AES and QES?
The three signature types provide different levels of assurance.
SES is suitable for everyday agreements where a simple signature is sufficient.
AES includes identity verification to provide additional confidence in the signer's identity.
QES is the highest level of electronic signature under UK and EU eIDAS regulations and is legally equivalent to a handwritten signature.

Are electronic signatures legally binding?
Yes. Electronic signatures are legally recognised in the UK and many other countries. The appropriate signature type depends on the document and level of assurance required. Videosign supports SES, AES and QES, helping organisations select the most suitable signing method for each transaction.
When should I use QES?
QES is typically used for agreements that require the highest level of legal assurance or where regulations or industry practice specify its use. Examples include certain property transactions, deeds and high-value legal agreements.

Identity, Security and Compliance
Can I use Videosign to verify identity?
Yes. Videosign offers optional identity verification via integrated partners using trusted verification methods, including biometric and bank-based verification. Identity verification can be used alongside Advanced and Qualified Electronic Signatures to provide greater confidence in the identity of the signer.

Can I access an audit trail?
Yes. Every signing process includes an audit trail that records key information such as timestamps, participant activity and document events. Where applicable, this can also include meeting recordings, identity verification results, video evidence and AI-generated meeting transcripts to create a comprehensive record of the agreement.
Where is the data stored?
Videosign stores customer data securely on AWS servers. We maintain robust security controls and comply with applicable data protection regulations, including UK GDPR, to help protect your information.

Is Videosign compliant with UK and international regulations?

Can I witness signatures remotely?
Yes. Videosign supports remote witnessing by allowing witnesses to observe the signing process through a secure video meeting while capturing supporting evidence. This can help organisations complete eligible witnessing processes remotely while maintaining a clear audit trail.
Can I hold meetings in Videosign?
Yes. Videosign includes a built-in video meeting room, allowing participants to review, complete, discuss and sign documents without switching between multiple platforms.
Can I sign documents during meetings?
Yes. Participants can review and sign documents during a live Videosign meeting, creating a seamless workflow from discussion through to completion while capturing supporting evidence throughout the process.
Can multiple people sign a document?
Yes. Videosign supports multiple signatories and witnesses, allowing documents to be completed by several participants in the required order or at the same time, depending on your workflow.
Can I use Videosign without a meeting?
Yes. Documents can be sent for remote signing without scheduling a meeting using Directsign. Recipients simply receive a secure link to review and complete the document at a time that suits them.
Does the signer need a Videosign account?
No. Recipients can securely review and sign documents using a web browser without creating a Videosign account, making the signing process quick and straightforward.
Can I create templates?
Yes. You can upload your own PDF documents to our Contract Creator, add signature fields and other form elements, then save them for repeat use within your organisation.
